Booking & Payment Policy

​A deposit of 20% of the total trip price per participant is due immediately upon receipt of the booking confirmation.
The remaining balance is due 45 days before the start of the trip.

Your booking becomes legally binding upon receipt of our written booking confirmation.

Cancellation Policy​

Cancellations are possible at any time prior to the start of the trip. The effective date of cancellation is the day it is received by INCONTRI CULTURALI GmbH. We strongly recommend that all cancellations be made in writing (email is sufficient info@icexclusivetravel.com).

In the event of cancellation, INCONTRI CULTURALI GmbH is entitled to claim compensation, either as a fixed amount or based on actual costs incurred.

For fixed-rate cancellations, the following fees apply:

• 45 days or more before the trip: 20% of the total price

• From 44 to 15 days before the trip: 50% of the total price

• From 14 to 3 days before the trip: 90% of the total price

• Less than 3 days before the trip, no-show, or early departure: 100% of the total price

We reserve the right to claim a higher, specifically calculated compensation, if we can demonstrate that significantly higher expenses were incurred beyond the fixed rates.

You have the right to provide evidence that no loss occurred or that the actual loss was lower than the fixed cancellation fee.

Travel & Health Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance for their protection. This coverage is not included in the tour price.

For U.S. clients, it’s important to note that most domestic health insurance plans offer limited or no coverage abroad. A good travel insurance policy should include:

• Trip cancellation and interruption protection

• Emergency medical and hospitalization coverage

• Medical evacuation and repatriation

You can obtain travel insurance through providers such as Allianz Travel, Travel Guard, Travelex Insurance, or by using online comparison tools like InsureMyTrip.com or Squaremouth.com. Additionally, check with your health insurance and credit card companies to understand any existing international coverage.
